Why archive emails in Gmail?
Because when your inbox is piled high with everything, it's impossible to find what you need.
We wrote the ultimate guide on organizing your Gmail inbox. It shows you how to track emails that are tasks - or need to be Read Later - then archive them to feel breezy that you've seen everything and you're in control.
It's the path to Inbox Zero: make a decision about every email in your inbox, move it to a safe place to be tracked as a task, calendar event or Read Later, then archive it out of your inbox.
Why clear your inbox? Because it clears your mind. It removes all anxiety that you've not seen something, or you've forgotten something.
Archiving vs deleting in Gmail
Google themselves advocate archiving instead of deleting, because you have so much storage space, and Gmail's superior search lets you easily retrieve emails when you need them.
Benefit | Delete Email | Archive Email |
Retention | Gmail keeps deleted emails for 30 days. You can go into your trash folder (from Gmail's sidebar) and fully delete them sooner, if you wish. | Archived emails last forever. They're just removed from your inbox. |
Can browse | For a while. In Gmail's Trash (available from the sidebar), the email stays for 30 days. Then it's gone forever. | Always. Just go to Gmail's All Mail view from the sidebar. |
Searchable | Before it's deleted (after 30 days), you can use the search term in:trash. | Just search normally, all archived emails are included. (To exclude them, add in:inbox to your search.) |
